Billing Claims in Aeon Early Access - Is it right for you?
Aeon's Billing Functionality is being released in stages. To determine if it's a good fit for you at the current stage, here are some highlights:
Description
The billing feature during Aeon's Early Access enables clinics to create claims for billing through the Aeon system. Claims can be generated from an appointment, a patient's chart note, or a patient profile. A billing index page provides a comprehensive list of claims for the clinic, each containing the required information for submission to insurance.
The system integrates with Clinicaid to retrieve fee schedules and procedure schedules per province. However, the system does not handle direct claim submission to insurance. Instead, users must export claims via the "Ready for Export" tab in the billing index and manually upload them to their billing management system. Claims can be manually edited within Aeon, but the system does not track claim statuses or rejections in Early Access.
The core tasks you'll complete with Aeon's billing include:
- Create billing claims from multiple access points: appointment calendar, chart notes, and patient profiles
- View and manage claims through the billing index
- Integrate with the ClinicAid API for automated fee schedule updates and procedure codes
- Export billing claims via the "Ready for Export" tab for upload to a billing management system
- Manually edit claims before and after export if needed
Location
There are several locations you can add and view your billing entries:
Create: Within a Calendar Entry
Once a Calendar Appointment has been created, you'll find the billing icon in the Appointment Details panel on the right of your screen:
Create: Within a Chart Note
A billing entry can be created within a draft Chart Note or by adding an amendment to a Signed Chart Note:

Create: Within the Patient Profile
After you open the Patient's Profile, you can use the "New Claim" link to create a billing entry for this patient:
View: Billing Entries
You can view the Draft, Ready for Exporting, and Exported billing entries by clicking the Billing icon on the left side of the page:
Set up Billing Information
If you have a new Patient and/or your clinic is new to Aeon, here are the setup steps.
Set up the Patient
The following information is pulled from the Patient Profile to the Billing Export:
- Patient Name
- Patient PHN
Training Tip 🎓: Unless the information changes, you only need to set this up once when the patient is added to Aeon.
To view/edit this information:
1. Open the Patient's Profile
2. See the Patient Name and PHN at the top left of their profile
If the information is missing or incorrect:
3. Click Edit
4. Fill in the fields
5. Save
Set up the Clinic
The following information is pulled from the Clinic Settings to the Billing Export:
- Province
- MSP Facility Number
Training Tip 🎓: Unless the information changes, you only need to set this up once when you create your clinic in Aeon.
To view/edit this information:
1. Click Settings in the left column
2. Click Clinic
3. Click the Edit icon to edit Clinic information (including address and MSP Facility Number)
4. Click Save/Update
Set up the Practitioner
The following information is pulled from the Users Settings to the Billing Export:
- Practitioner Title
- Practitioner First Name
- Practitioner Last Name
- Payment Number
- Practitioner Number
Training Tip 🎓: Unless the information changes, you only need to set this up once when you add a new Practitioner to Aeon.
To view/edit this information:
1. Click Settings in the left column
2. Click Users
3. Click on the name of the Practitioner to edit information
4. Click Edit
5. Enter the information for the Practitioner
6. Click Save/Update
Use
Here are the 6 steps to submit your Billing Claims to MSP:
Step 1: Create a “Draft” Bill Claim in Aeon during or after the patient appointment

Step 2: Review the Draft Claims in Aeon and move to Ready to Export
- Refer to the How to Export Billing Claims from Aeon article
Step 3: Export Claims to .csv and download to your computer
- Refer to the How to Export Billing Claims from Aeon article
Step 4: Upload the .csv to your Billing Management Program
Training Tip🎓: If you are using a different Billing Management program, refer to that site's instructions for importing claims.
Step 5: Address any errors in your Billing Management Program
- Refer to the support documentation for your Billing Management Program
Step 6: Optional: Reconcile any changes to your billing entries in Aeon
Permissions
There are no restrictions on billing features, regardless of role.
- Practitioners: Create, edit, and export claims
- Staff: Create, edit, and export claims
Limitations
- Deferred Features:
- Search Billing Index by patient name
- Automated claim submission to insurance
- Tracking of claim statuses, rejections, and payouts within Aeon
- Advanced predictive analytics for reimbursement forecasting
- Expanded private insurance integrations beyond the Early Access scope
- Third-party integrations with external billing management systems
- Billing reporting for the clinic
Issues
- Users must manually export claims and upload them to their billing management system
- The system does not track or manage claim rejections or status updates
