Description
Audit Export lets practitioners download a record of every user action on patient records. Use this export to demonstrate compliance with regulatory requirements or to review activity within your clinic. Each export arrives as a CSV file that shows who did what and when, making it easier to answer audit requests and monitor how your team uses the system.
Location
The Audit Exports can be found under the Settings icon on the left of the screen.

Below, we will cover all the features of and how to generate Audit Exports.

Generate an Audit Export
1. Click Settings in the left-hand menu
2. Click Audit Exports
3. Click New Audit Export
4. Set the parameters for the Audit Export:
After you generate an Audit Export, you'll see it listed on the Audit Export page. Use the Archive and Download icons to the right of the export as needed.
🎓Training Tip: Only the Practitioner who generated the Audit Export may download and view that file. See Permissions for more information.
Reading an Audit Export

2. Click the download icon to the right of the export
3. Open the .csv file
Here is a description of each header column:
| Name | Description |
| Account ID | Unique identifier of the clinic or organization that owns the audit log. (Note: This identifier is automatically assigned by Aeon when your account is created.) |
| Action | The type of activity performed on the resource (for example, created, updated, deleted, viewed or edited). |
| Actor ID | Unique identifier of the User or Employee (see Actor Type) |
| Actor Type | Describes the actor type of the person who made the change. It is either User or Employee. |
| Auditable ID | The ID of the record that was changed or accessed; used to locate the record in the system. |
| Auditable Type | The type of record that was modified (e.g., Patient, User, Email). |
| Created At | Date and time when the audit entry was generated. |
| ID | Unique, sequential identifier for each audit log entry. |
| Metadata | Request‑level details such as URL, controller name, IP address, request ID and status code. |
| Object Data | Shows the changes applied to the record by listing old and new values for each field (before‑and‑after data). |
| Patient ID | Unique identifier of the patient associated with the event; blank or zero when not linked to a patient record. (Note: The Patient ID is automatically created by Aeon when a new patient is created.) |
| System Created | Indicates where the entry was generated by the system (true) or by an Actor (false). |
| Updated At | Timestamp showing when the audit entry was last updated; usually matches Created At. |
Opening an Audit Export
After you download the Audit Export to your computer, click on the file in your downloads folder to open it.
- If your browser is set up to automatically open files like this in a particular program (e.g. Microsoft Excel on a PC or Numbers on a Mac), then the program will open and you will be able to view and interact with the file.
- To change the program that opens by default when you open a spreadsheet:
- Mac:
- Find the document on your computer (not in the downloads of your browser) and right-click, then choose Get Info
- Under the section Open With, you will see the default:

- If you have another app for spreadsheets on your Mac, choose it from the dropdown
- Click Change All
- PC:
- Right-click on any spreadsheet file in File Explorer
- Select Open with > Choose another app
- A dialogue box will appear showing a list of compatible apps, including the current default
- To change it, select a different app and check the box that says Always use this app to open files of that type, then click OK
- Alternatively, you can go to Settings > Apps > Default apps and search by file type (like
.xlsx) to set the default
- Mac:
Note: If you do not have Excel or Numbers on your computer, you can use programs like Google Sheets or a Text Editor such as Notepad. To do so, go to that program and open the file from there.
Practitioners: Can generate Audit Exports and download their own exports. If other Practitioners have generated Audit Exports, they will show in the list, but are not downloadable.
Staff: No access to the Audit Exports tab.
Audit Export Limitations
These are topics that we are aware of:
- Maximum of 12 months of data per export
- The size of the exported data determines the length of time it will take to generate
